All processing happens in your browser — your files never leave your device. How to use this time card calculator
- Type each day's clock-in and clock-out time. You can write it however you like —
9,9:00,9am,0900, or17:30all work. - Set the lunch break in minutes. Use "Apply to all days" to reuse the same break, or press "+ break" on any day for a second unpaid break.
- Optionally pick a rounding rule (5, 6, or 15 minutes) and switch on overtime with your weekly threshold and hourly rate.
- Read the weekly total in both hh:mm and decimal. Regular, overtime, and gross pay appear when overtime is enabled.
- Press Print timesheet for a clean paper copy or Export CSV to open the totals in a spreadsheet — no account required.
How weekly hours are actually calculated
A time card total is simpler than it looks, but three details trip people up: breaks, overnight shifts, and rounding. Here is exactly what this calculator does with each row.
Gross time minus unpaid breaks
For each day, the calculator converts your clock-in and clock-out into minutes since midnight, subtracts the earlier from the later, and then removes every break you entered. A shift from 9:00 to 17:00 is 480 gross minutes; a 30-minute lunch leaves 450 paid minutes, which is 7:30 or 7.5 hours. Breaks are unpaid time, so they always come out of the paid total — that is why a "time card calculator with lunch break" gives a smaller number than raw clock time.
Overnight shifts that cross midnight
When your clock-out is earlier than your clock-in — say 22:00 to 06:00 — the shift clearly ran past midnight. The calculator detects this automatically and adds 24 hours, returning 8:00 instead of a negative number. You never have to split an overnight shift into two rows.
Punch rounding and the 7-minute rule
Many employers round each punch to a set interval so payroll lands on tidy quarter-hours. Choose 15-minute rounding to apply the well-known 7-minute rule: a punch at 9:07 rounds back to 9:00, but 9:08 rounds forward to 9:15. Five- and six-minute options are there for shops that round to the nearest tenth of an hour. Rounding is applied to the in and out punches before breaks are subtracted, which matches how most payroll systems behave.
Overtime and gross pay
Turn on overtime to split hours above your weekly threshold — 40 hours under the U.S. Fair Labor Standards Act, but editable — into regular and overtime buckets. Enter an hourly rate and the calculator multiplies overtime hours by 1.5 to show regular pay, overtime pay, and gross pay. These figures are estimates to help you check a paycheck, not official payroll.
Two output formats
Every total appears twice: as hours and minutes (7:30) for reading, and as decimal hours (7.5) for payroll systems that expect a decimal. If you only need to convert between the two, the decimal hours converter has a full minute-by-minute chart.
Frequently asked questions
How do I calculate hours worked on a time card?
Enter the clock-in and clock-out time for each day, subtract any unpaid breaks, and add the daily totals for the week. ShiftTally does this automatically and shows the result in both hh:mm and decimal hours, so you can copy whichever your payroll uses.
Does the calculator handle overnight shifts past midnight?
Yes. If the clock-out time is earlier than the clock-in time, ShiftTally assumes the shift crossed midnight and adds 24 hours. A 10:00 PM to 6:00 AM shift correctly returns 8 hours with no manual splitting.
Can I add more than one break per day?
Yes. Each day has a break field in minutes, and you can press "+ break" to add extra unpaid breaks such as a second rest period. Every break minute for that day is subtracted from the gross shift time.
What is punch rounding and the 7-minute rule?
Employers may round punches to the nearest 5, 6, or 15 minutes. The 7-minute rule is 15-minute rounding: minutes 1–7 round down and 8–14 round up. Pick a rounding option and it is applied to every punch on the card.
Is my time card data uploaded anywhere?
No. All calculations happen in your browser using JavaScript. Your entries are saved only in this browser's local storage so a refresh will not lose them, and nothing is ever sent to a server.
Can I use this for biweekly or monthly pay periods?
Yes — use the biweekly version for a two-week card, or the monthly and semi-monthly version, which builds the exact days of the month you choose.
ShiftTally provides estimates to help you check your own hours and pay. Results are for informational purposes only and are not payroll, tax, or legal advice. Overtime and rounding rules vary by country, state, and employer — confirm your figures against your official pay records.
